The mission
At Lightyear, we move fast, and our physical spaces and company moments need to keep up. We are looking for a Workplace & Events Specialist to be the heartbeat of our Tallinn and London hubs. You won’t just be “managing facilities”; you’ll be shaping both the day-to-day work environment and the events that bring our culture to life. From smooth office operations to planning standout off-sites, celebrations, company-wide events and external meetups, you’ll play a central role in how Lightyear feels to work at.
What you will do
Manage our growing offices
Fully own the daily operations of our offices in Tallinn and support our London site remotely
Work with facility and service providers (cleaning, security, maintenance, food & drinks, office supplies, swag, etc.)
Continuously improve the office experience, making our spaces not just functional, but genuinely enjoyable and fun places to be
Build and coordinate workplace processes that scale with the company
Support employee onboarding and offboarding from an office perspective
Handle workplace Health & Safety administration and related initiatives
Ensure the offices are functional, welcoming and feel distinctly “Lightyear”
Events & culture
Plan and run internal events such as company-wide off-sites (Summer Days), Christmas parties, team events and similar
Collaborate with our Marketing team in organising local and international external events for our customers
Coordinate birthdays, work anniversaries and other ad-hoc celebrations
Support wellbeing, health and safety initiatives across the company
You’ll work closely with People, Marketing, Finance, and our Founders, and you’ll have real ownership – this is not a “please, order snacks” role (though yes, snacks matter :)).
Requirements
Strong organisational and project management skills; you’re comfortable juggling multiple things at once
2+ years of experience in Event Planning or Office Management
Experience with budgets and vendor management is a very strong plus
Fluency in Estonian and English is a must. You’ll be talking with both our local and international teams and vendors on a daily basis
Comfortable working with international teams and external partners
